Once again, the management of the pandemic situation calls for flexibility on our part as event planners. The emergence of variants and the less than optimal progress of the vaccination campaign have slowed down the return to normality that we had all hoped for in the summer. In Italy, this new situation has been addressed by the government with precise rules that affect many activities and are particularly important for the events industry. It is still possible to organise conferences, exhibitions, fashion shows, and events of all kinds<\/strong><\/a>, but it is essential to comply with the rules currently in force, particularly those mandating the use of the so-called “green pass”. Here is a general overview of the government’s guidelines and how they apply to the work of event organisers.

The green pass<\/h3>\n

By now all Italians are used to producing the so-called green pass to enter clubs, restaurants, and access events. A green pass is obtained with proof of vaccination, a certificate proving that the person has recovered from Covid, or by producing a negative test result. In some contexts, the so-called ‘super green pass’<\/strong> is required, i.e. one reserved for those who are vaccinated or recovered, which does not allow unvaccinated individuals to access events or venues, even with a negative test result. Those contravening these rules risk heavy fines, and the same applies to businesses and events that let in customers without the required pass. Such businesses may be shut down if the authorities prove they have ignored Covid rules.

Rules for events, trade shows, and conferences<\/h3>\n

Events, especially large ones, must follow precise rules to avoid outbreaks. The maximum number of participants should be determined according to the size of the venue, and the organisers should discuss this with the local health authorities<\/strong>. If, for example, a trade show is held in several halls or pavilions, a maximum number of participants must be established that can be present in each hall at the same time. It is also essential to disinfect and sanitise the premises frequently. The number of participants must be measured through special booking systems, recording dates, and times of entry for everyone who accesses the venue. The aim is to avoid crowds by holding longer events and distributing accesses over time.<\/p>\n

What event organisers can do<\/h3>\n

Event organisers can optimise their work by making the best use of technology and choosing their venue carefully.<\/strong> To ensure all attendees have as pleasant and ‘natural’ an experience as possible, it is important to put the safety of the audience and personnel first. If you want to organise an event for a large audience, it can be useful to choose a multi-level venue, so that you can guarantee a smooth flow of people between the different rooms and avoid crowds. In this phase, hybrid events<\/a> are particularly valuable<\/strong>: to be able to offer the event to a larger number of people than the capacity of the location allows, the only way is to have an interactive online version that audiences can connect to and interact with. In addition, this method allows those who, for whatever reason, can\u2019t produce the appropriate green pass to attend an in-person event, as well as a wider geographic audience, since online attendance is open to users from anywhere in the world.

The events industry has already demonstrated a great deal of flexibility and the ability to adapt to any new situation.
