Finding the right venue is crucial to your event’s success

What we did

FAS international, a leading company in the production and distribution of vending machines, contacted us to organize a party for some customers during the “Venditalia” trade show. They specifically asked for a unique space, a venue with a story, with a strong and distinctive personality and – above all – plenty of room to use as a dancefloor. We decided that it would be a great idea to organize an event in an old foundry, which was converted into an event and lounge space.

Location, location, location: what to do when you’re spoilt for choice

Location decisions can be tricky because each venue offers something different and, in a city like Milan, there are thousands of options to choose from. How do you narrow it down? Here are a few useful criteria.

Size

Size also matters enormously: you need enough space for people to congregate and mingle, but not so much space that it becomes unwieldy or difficult to manage. Some venues are designed for large crowds while others are more intimate and ideal for smaller events. The size of the venue can affect how much you spend on rental fees and staffing costs.

Style

The venue should reflect the theme of your event, your core values, your brand’s personality, and your target audience’s taste. If it sounds like a lot of responsibility to place on one single choice, it’s because it is. You can’t get it wrong. In this case, the venue was a statement. After two years of event hiatus and having previously focused exclusively on corporate dinners, finding a venue in which to dance was a way of expressing the company’s determination to go back to life as we all knew it before the pandemic.

Accessibility and amenities

When choosing a venue, it is also important to focus on other, possibly more mundane things, that will make your planning work easier if you get them right. Is public transit available? How far is it from the venue? Where are the attendees coming from? Is the venue convenient for them? What are the parking options? What kind of food and beverage service will be available? Can you use your own catering? What happens if there’s inclement weather?

Channel your personality into the venue

We took our client to inspect the venue and they immediately fell in love with it. Afterwards, we took care of booking catering for the late brunch and hiring a DJ.
We were so glad that our client was happy with everything we did till then. We also got to know more about their brand and how they wanted to be portrayed in their event. The main color of our client’s brand is red, which was the whole event’s visual theme. We used a video projector to project the client’s logo on the brick wall, enhancing the post-industrial vibe, and “smartbats” to light the room red.

The choice of venue can determine the ultimate outcome of an event. In this case, client and attendee satisfaction gave us the measure of the event’s success. The right venue for this particular party was determined by a number of factors including convenience for guests and ease of access, cost and time constraints, as well as the availability of necessary equipment and services. However, in this specific case, we went for style over everything else: it was the right choice.
